Orthopedic Clinics now have the opportunity to solicit web-based support for improving the document workflow. The orthopedic transcriptions are offered through toll free phone-in-dictation, the physicians are provided with a unique code, which they need to enter while narrating patient encounters into our secure servers. |

The clinics that use specialty specific Orthopedic EMR applications are also offered transcription support for documenting orthopedic reports within their existing application. The IT staff of the clinic and the technical team of our company coordinate in establishing Virtual Private Network (VPN) connectivity with the EMR/EHR/PM application, and through a login process the medical transcribers from our company access and document the dictations that are read by the physicians into the applications voice recording system.
We also offer Lanier Transcriptions to clinics that use the standalone dictation systems such as Crescendo, Lanier Swift and Digital Portables, the dictations need to be uploaded through the File Transfer Protocol (FTP) on to our server, which are then documented and sent to the physicians for review.
We also sought the services of nurses working in orthopedic clinics to familiarize our transcribers with medical terminology related to orthopedics, some of the nurses who have trained our transcribers had 20 years of experience in handling orthopedic patients, and this experience proved to be invaluable for our transcribers
Another issue that many orthopedic clinics are faced with is the turn-around-time taken by the in-house divisions to document the narrations, while we are able to process and document the dictations in just 12 hours, the in-house divisions took nearly 36 hours. This was because the clinics were finding it difficult to hire local transcribers for the in-house division, in some of the clinics if transcribers were available, they lacked the skills of navigating electronic applications, this disrupted the document workflow of the clinics and took a longer time for processing the narrations.
Our association with healthcare facilities has been in existence for more than 10 years. We have an excellent track record of HIPAA regulation compliance. We have secure systems that are password protected and access to patient records processed by the company are only for the staff that need to know about them. The data interchange with the healthcare facilities is through SSL encryption platform. The HL7 standards are observed for Virtual Private Network connectivity with EMR applications used by the clinics.
Orthopedic clinics now have a choice of using the 7-day free trial. The no-obligation free trial offers them an opportunity to evaluate our services. The transcribers from our company document 40 to 50 narrations, which can be reviewed by the administrators for quality. After a satisfactory review by the administrators, they can then send us the Business Associate Agreement.
